Upload the receipt
Choose the intended business and add a supported receipt photo, scan or PDF in the browser. Keep the whole receipt readable, including the merchant, date and paid total.

01 / FROM PAID PURCHASE TO REVIEW
Form Studio has already paid $84.50 for supplies with its business card. The prepared total in this fictional example needs correcting. Check the source, choose the example accounts and review whether the purchase is already recorded.

EXTRACTED DETAILS + YOUR REVIEW
Check the prepared total against the original, then correct it to $84.50. This example deliberately includes a value that needs correction.
This exercise checks your edits against fixed fictional values. The existing-record answer is your own check, not an automatic ledger search. No live OCR, uploads or QuickBooks changes.
02 / THE PAID-RECEIPT WORKFLOW
Receipt scanning software for QuickBooks should make the payment context clear. A paid purchase needs its expense and payment details checked before the handoff.
Choose the intended business and add a supported receipt photo, scan or PDF in the browser. Keep the whole receipt readable, including the merchant, date and paid total.
Compare the merchant, reference, date, subtotal, tax and total with the source. Correct missing or uncertain fields and check supported line items where available.
Choose the expense account, payment account and supported payment method. Check for an existing transaction and possible duplicate documents, then approve.
The approved Expense uses the QuickBooks Online Purchase workflow. Confirm the accounting record and its original receipt attachment; each has a separate status.
03 / ORIGINALS WITH CONTEXT
Receipt management software for QuickBooks Online keeps the source connected to the review. Follow its status through the handoff so the document is available when a purchase needs explaining.
Keep receipt files and prepared details in the intended business workspace. Search by filename or merchant, then open the source to check the purchase.
Use the document queue’s review, ready and synced views to follow each receipt. Confirm its payment account and whether the purchase is already recorded before approving a new expense.
After the transaction is created, ScannerPilot attaches the original. If that upload fails, retry the attachment against the existing record and check its outcome.
THE BROWSER EXPERIENCE
Use receipt management software for QuickBooks from the browser: choose your business, select supported receipt files, review prepared data and track approved records. A photo taken with your phone can be uploaded as a supported image.
The ScannerPilot experience described here is a web application. It does not include a native iOS or Android app, in-app camera capture or offline scanning. Take the photo separately, then upload it in your browser.
Confirm the enabled file types, upload-size limits and applicable document allowance before introducing a recurring batch.
04 / CHOOSE YOUR RECEIPT WORKFLOW
QuickBooks Online already includes receipt capture. Choose the workflow that fits how your team collects documents, checks the purchase and approves an accounting record.
Intuit documents receipt uploads, extracted details and review, with options to create a transaction or match an existing one. That workflow may suit a team that wants to work inside QuickBooks.
Read Intuit’s receipt guideEvaluate ScannerPilot when your team needs to review source files, correct prepared details and approve expenses before sync. Track the accounting record and original attachment separately. Bank-feed matching and reconciliation stay in QuickBooks.

BEFORE YOUR FIRST RECEIPT
Upload a supported receipt image or PDF in ScannerPilot’s browser workspace. Review the merchant, date, amounts and payment context. Confirm the expense account, payment account and company, then approve the supported Expense/Purchase handoff. Check the created record and original attachment separately.
Check readable receipt intake, field corrections, payment-account selection, duplicate warnings and original attachments. Also check whether the purchase already exists in QuickBooks before creating a new expense.
The supported workflow prepares merchant details, dates, references and amounts such as subtotal, tax and total. Compare those values with the original and correct uncertain or missing details before approval. Readability and layout affect the result; supported line items still need review and account choices.
ScannerPilot’s supported extraction workflow can use OCR and AI normalization to prepare document details for review. Results depend on the configured extraction setup and the receipt. Check uncertain values against the source; approval remains part of the handoff.
The experience described here is a browser application. Upload supported files and review them in the web workspace. This page does not offer a native iOS or Android app, or promise in-app camera capture or offline scanning.
Use the browser workspace to keep receipt files, captured details and review status together for the intended business. Search by filename or merchant, use the document-status views and open the original for review. Confirm the source attachment on the resulting QuickBooks expense. This describes the web application.
Yes. Intuit documents receipt upload, extraction and review, with options to add a transaction or match an existing one. See the linked Intuit guide in the comparison above. Evaluate ScannerPilot when a separate document queue and approval before sync suit your process.
Check the separate transaction and attachment statuses. ScannerPilot supports retrying the original attachment against the transaction it already created. Verify the receipt on that record after retrying, rather than uploading the purchase again as a new expense.
An unpaid supplier invoice follows the Bill workflow rather than the paid-receipt workflow. Confirm the payment context before choosing the record type. Use the supplier-invoice page for the full Bill handoff.
