QUICK ANSWER

Agree on one starting point

Give each client a clear place to send documents and a short explanation of what to include. Keep the instructions practical: which files are needed, where they belong, and who to ask when something is missing.

Use a consistent naming or grouping convention that your team can understand. Do not depend on an individual reviewer remembering what an attachment was called last month.

One idea to remember

Make it obvious where a document belongs, who owns the next step, and what is missing.

BOOKKEEPING · 02

Separate the client from the status

First confirm the business or client. Then decide whether the document is new, needs a question answered, is ready for review, or has completed the process. Those are different pieces of information.

Assign unresolved questions to a named person in your own workflow. “Waiting” is less useful than “Waiting for the client to confirm the invoice date.”

BOOKKEEPING · 03

Close the loop on missing items

Keep a short list of outstanding documents and the request associated with each one. When the file arrives, connect it to that request so the team does not keep chasing the same item.

At handover, leave a clear next action. Good intake is not about a complicated folder structure. It is about making the next person’s decision easier.
