Separate the stages
Write down what you can see: the document uploaded, the details were reviewed, an approval was given, or a sync attempt was made. Those are different stages, and each helps narrow down the question.
Copy the exact message rather than paraphrasing it as “not working.” Note when it happened and which workspace was selected. Avoid sending sensitive document contents through an unapproved support channel.
Find out which step failed before repeating a step that may already have succeeded.
Check what already exists
Look for the intended accounting record before retrying. If the record exists but the original file is missing, focus the investigation on the attachment rather than creating another transaction.
Where you do not have access to confirm the result, ask the responsible person to check. Keep the item marked as needing attention until the outcome is understood.
Give support something actionable
Include the workspace, document filename, current status, time of the attempt, and exact error message through your approved support process. Describe what you expected and what actually appeared.
Do not share passwords, connection tokens, or private account credentials. Keep a note of the next action so another team member does not repeat the same investigation.
